How to transfer File Cabinet Settings?

Answer:
File cabinet settings can be re-used for a new file cabinet by going to the context menu of a file cabinet in the directory tree of DocuWare Administration and exporting the settings into a XML file. Then you can import these settings in the first dialog shown by the Wizard when setting up a file cabinet. This means you only need a few mouse clicks to create settings like fields, dialogs and options.

Application Scenarios:

  • A user, we’ll call PETERSON, has three file cabinets that are each structured the same way. The ORDERS file cabinet is accessible to a user group called Pe-terson, the DELIVERY SLIPS file cabinet is accessible to a user named Smith and the INVOICES file cabinet is accessed by a user named Miller. PETERSON would like to combine these three file cabinets into one file cabinet which will be called ACCOUNTING. To prepare this, the settings of the ORDERS file cabinet are exported onto the DocuWare reseller’s system. The DocuWare reseller then sets up the ACCOUNTING file cabinet on his system using the previously exported settings from the ORDERS file cabinet. This means the file cabinet structure is in place – no need to create new fields or dialogs. Based on the customer’s requests, adjustments are made by the DocuWare reseller before setting up three file cabinet profiles with index fil-ters for the user groups Peterson, Smith and Miller. Then the reseller simply exports the settings of the new ACCOUNTING file cabinet, importing them onto the customer’s system.
  • The fields of a search dialog are not visible to a user. By exporting and importing the file cabinet settings, the support team can address the problem and help the customer immediately.
  • A tax accounting firm would like to close a file cabinet for 2008 to conduct an audit and create a new one for 2009. This is not a big deal: the firm just re-uses the file cabinet settings from the 2008 file cabinet. When setting up the 2009 file cabinet, it’s only a matter of importing the XML file.
