Important Note:
Database maintenance and servicing are complex and resource-intensive tasks that should be carried out exclusively by qualified database professionals. While DocuWare offers limited support for database maintenance, these services require in-depth technical expertise regarding database structures.
Our experience indicates that insufficient database maintenance can lead to significant performance issues within DocuWare environments. Key activities such as defragmenting indexes and maintaining or recreating necessary indexes are essential, yet demanding, and require a thorough understanding of database management.
Please be aware that regular database maintenance is not included in DocuWare Support Services contract. If you require assistance beyond the scope of self-management, DocuWare can provide this support as a paid service through our Professional Services team. For further assistance, please contact us in advance by emailing:

In addition to practical experience and deep product knowledge, we have compiled several key Microsoft SQL Server articles from the Microsoft Developer Network (MSDN) to assist in performing proper maintenance of your MSSQL database. The MSDN serves as an official reference source for Microsoft technologies.
For comprehensive database maintenance procedures, please review the following article: KBA-36576
Recommended Maintenance Methods:
-
Archive Older Data:
Establish a document archival plan for your file cabinets. Moving historical records to dedicated archive cabinets reduces the data volume in active cabinets, significantly improving search performance. -
Manage Audit Data:
Remove outdated audit entries from the _AUD tables for each cabinet at the database level when appropriate. See KBA-37153 for detailed steps. -
Disable Unnecessary Full-Text Indexing:
Turn off full-text indexing on cabinets where it is no longer required to help remove unused indexes and enhance efficiency. -
Implement Backup Strategies:
Ensure your database is set to FULL recovery mode and schedule frequent transaction log backups. This practice controls transaction log growth and ensures reliable database recovery in the event of failure. -
Perform Regular Index Maintenance:
Create and maintain a comprehensive database maintenance plan to address index fragmentation. The required frequency of these operations depends on system utilization. Larger environments may require more frequent maintenance.
