What licenses do exist in DocuWare and what funktion do they have?

Answer:
Every user who wants to work with DocuWare needs a license. DocuWare differentiates between concurrent licenses and so-called "named licenses". By default, a new installation only comes with concurrent licenses, but those can be converted to named licenses using the DocuWare Administration. You can always convert one concurrent license to two named licenses and the other way around.

Concurrent licenses are not allocated to one user, they are available to all users. Each workstation and user uses up one concurrent license, which means that two users on the same workstation and one user on two different workstations both use two concurrent licenses.

Named licenses are effectively concurrent licenses that are reserved for one particular user. Therefore, if all concurrent licenses are used by other users, a user with an assigned named license can still login to the system. As for concurrent licenses, accessing DocuWare from a second workstation simultaneously will also require a second named or concurrent license.

If you'd like to create new named licenses, here is how:

  1. Open the DocuWare Administration and go to <Organization name> → General → Licenses. In the window section on the right, click on the button to the right of the option "Concurrent licenses".

  2. A popup window should open. Here you can enter the number of concurrent licenses you want to convert. Please note that one concurrent license will always be converted into two named licenses. Once that is done, click on the OK button to apply the changes.

  3. Now you should be seeing a list of named licenses in the main DocuWare Administration window.

  4. To assign a named license to a user, you can use the dropdown list next to the option "User name".
