Hallo Herr Hahn,

leider ist es nicht möglich, bestehende Aufgaben in eine neue Version des Workflows zu überführen.
Einer der Gründe, warum dies nicht möglich ist, ist folgender: Eine neue Version des Workflows kann anders aussehen und vielleicht komplett andere Informationen in einer früheren Aktion abgefragt haben, die dann in einer späteren Aktion fehlen. Also beispielsweise fragen Sie in der neuen Version nach einem zusätzlichen Benutzer in Schritt 1 und wollen in Schritt 10 dann die Aufgabe an diesen Benutzer zuweisen. Ihre bestehenden Aufgaben aus dem alten Workflow sind aber irgendwo zwischen den Schritten 1 und 10 und haben diese zusätzliche Information nicht vorliegen und würden nun in der neuen Version alle in Schritt 10 in einen Fehler laufen.

Hallo Herr Hayder,

eine blättern zum nächsten Vorkommen Funktion gibt es tatsächlich. Sie finden den Button dazu in der Werzeugleiste im Bereich "Werkzeuge". Dort die Lupe mit dem Pfeil klicken "Volltextsuche fortführen" oder per Tastaur Strg + Alt + G.

Eine Auflistung der Ergebnisse gibt es leider zur Zeit nicht.

probably these files are existing PDF files which you imported to DocuWare, so not scanned or printed, right?

Probably the header in the PDF file is an image and the rest is text. DocuWare extracts the text and is not doing an OCR on the file as there is already text extracted. You can check this in any PDF Viewer like Acrobat Reader. You can try there if you can select the different types there.

There is currently one workaround to use OCR for all types of documents even if they contain text already.

vermutlich benötigen Sie nicht nur eine URL für ein bestimmtes Dokument sondern eher eine "universelle" Lösung.
Vielleicht schauen Sie sich einmal die Dokumentation zum URL Creator an: https://help.docuware.com/#/home/60502/2/2 und falls Sie programmatisch die richtigen URLs erzeugen wollen, können Sie auch in der Developer Documentation https://developer.docuware.com/URL_Integration/index.html nachlesen.

Hi Tracy,
the term "Default Search Dialog" is actually the dialog, the user is choosing from the "Search" main menu, the result list is just connected to the search dialog and probably named "Default Result List". A result list has two parts, the result list itself and the index dialog.
If you want to change the index dialog have first a look at the search dialog and look up the connected result list. You can see this information below the fields of the search dialog after clicking the "More options" link. After identifying the correct result list you can open the settings for the result list. There you find two tabs for "Result" and "Index dialog", choose the "Index dialog" to change the settings there.

Hallo Frau Mohr,
dazu rufen Sie in der Archivverwaltung bei den Dialogen des Archivs die Ergebnisliste auf. Dort finden Sie auch den Indexdialog und können dort für das entsprechende Feld die gleichen Einstellungen wie im Ablagedialog vornehmen.

Can a user assigned to a Workflow License fill out and store a Form that then triggers a workflow?

The user which has a Workflow user license assigned can fill out a form and submit it. The Workflow process is a separated process so yes, this will work.

Which of the Desktop Apps function and to what degree under the Workflow License?

As a user assigned to a workflow license no functionality works, that will store or edit a document in DocuWare, only searching is available. Do you have any specific functionality you would like to use?

wenn Sie mit der Desktop App von Excel bearbeiten, dann erfolgt die Bearbeitung rein lokal iund es wird bis zum schließen der Datei nichts an DocuWare Cloud zurückgesendet. Technisch wird beim Bearbeiten-Befehl eine DocuWare Desktop-App angesprochen, das entsprechende Dokument herunterzuladen. Die Datei wird in einem temporären Verzeichnis gespeichert und mit der Datei das Bearbeitungsprogramm (in diesem Fall Excel) geöffnet. Die DocuWare Desktop-App überwacht dann die Datei ob sie vom Bearbeitungsprogramm gesperrt ist. Sobald die Sperre aufgehobven ist (was normalerweise passiert, wenn man die Datei schließt oder das Programm beendet) dann wir die Datei wieder zu DocuWare hochgeladen und lokal gelöscht.

Es können dabei verschiedene Fehler auftreten, die man sich jeweils genauer anschauen muss, dies geht am besten in einem Supportfall.

Ab Version 7.4 der DocuWare Cloud ist es nun auch möglich Office Dokumente im Browser zu bearbeiten, wenn der Benutzer auch eine entsprechende Microsoft 365-Lizenz hat. Vielleicht ist das ja eine Alternative für die Zukunft.

Hi Marc,
if I understand you correctly this should be possible. There are two ways of dealing with folder names in DocuWare Import:

1. Decide where to store based on folder name
   In this case you need to activate "Select configuration automatically as specified on "Processing" " on the "Source" tab and then switch to the "Processing" tab to select the area "Identification". You can then select the folder name as an identification option. Additionally the target file cabinet is selected on the "Target" tab.
2. Use the folder name as index entry
   For every index field in a file cabinet you can select the folder name and event the parent folder name. You have to click on the plus icon below the index field and choos "Dynamic entry", then you can choose the folder name.

Hi Rhys,
without further knowledge of the resulting documents,  I think you probably have to train Intelligent Indexing with all the different varieties. One idea would also be to create some document containing ALL content and train Intelligent Indexing with these documents.
Is there no way to use the with Forms included Indexing possibilities?
