• Index dialog.

    Index dialogs are specified along with a Result List. DocuWare normally observes permissions based on these dialogs. Therefore you will need to create a Result list and associated Index dialog with the required fields for your Task Approvers. Ensure that your Task approvers are not associated with a Result list that allows them to see all index entires in the Index dialog.

  • Restricting users

    There are many ways to restrict users to only seeing specific records in the file cabinet. Normally, we would store the DocuWare users name in a field and use a filter that specified to only show records where the field = CurrentUserName.
    So you can either create a field to hold the DocuWare user name, or construct a database table that holds the Employee Id and the DocuWare User name and use an SQL query to create the filter. That method requires regualr maintenance to add new users as required. Better is to populate a filed with the DocuWare user name and filter on that.

  • Changing Index entries.

    DocuWare provides 2 tools for changing many index entries. Either AutoIndex or the Index Cleaner App as indicated by Gerardo. Workflows, Manual selection and SDK options are not required and introduce more work than required.

    Footnote. As indicated by Josef, once you get a result list, click on the result list context menu (3 vertical dots), and select Change Index entries for all documents. That will also process the entire Result list up to 10,000 documents at a time.

  • Clipping - No delete rights.

    You've answered your own question. Without delete rights you will have the duplicate documents in the cabinet. However, once clipped to another document you will have no reference to find duplicates. But you know this. There is no magic here. You either give the users delete rights so they can delete after copy to the tray, or you need to develop another strategy.

    It always helps to know what the use case is. That is - Why? Then it may be possible to help you.

  • Investigation wiht 6.12 and 7.0

    We just completed the investigation and the behavior is the same in both releases. You can edit Index entries if you are editting a document from the File cabinet that serves the Dialogs (normally the first one selected). If you try to edit a document from the second cabinet you get an error.
    I have not investigated yet if there are any plans to change this behavior.
